Position Title : Consultant (Senior Administrative Officer)

Location : New Delhi

Duration of Position : 1 Month or co-terminus with the project, whichever is earlier.

Brief on the Organization:

The Public Health Foundation of India (PHFI) is working towards building a healthier India. It is helping to address the limited institutional and systems capacity in India by strengthening education and training, advancing research and technology and facilitating policy and practice in the area of Public Health.  PHFI is headquartered in New Delhi with national presence through its constituent units of regional Indian Institutes of Public Health (IIPHs) and Centres of Applied Research in core public health themes. The Foundation, established in 2006 as a public private initiative, is governed by an independent board comprising of senior government officials, eminent Indian and International academic and leaders, civil society representatives and corporate leaders. Project Brief:

The Government of India has declared 2012 as the year of Strengthening Routine Immunization. PHFI has set up an Immunization Technical Support Unit (ITSU) within Ministry of Health and Family Welfare to provide technical support to the Ministry to revitalize and successfully implement the Universal Immunization Program (UIP). ITSU will provide technical and management expertise and build capacity to design, create, implement, and institutionalize a stronger immunization program fully lead by GoI.


  • Provide administrative and logistics support to the PHFI – ITSU team.
  • Support the organization of events, workshops, conferences, logistical and courier support for the organization of events, conferences and workshops.
  • Arrange quotations form hotels and assist in preparing budgets for meetings, workshops and conferences.
  • Verify all the bills sent by hotels / travel agents / MAs after completion of meetings / conferences / workshops, etc. and process these for payment by finance.
  • Travel booking and arranging local cabs, maintaining travel tracker.
  • Support in preparation of workshops/conferences/meeting kits, as requested.
  • Manage and track employee timesheets, leave and benefits.
  • Manage onboarding new staff.
  • Handle petty cash and submit the same with detailed expense sheet.
  • Ensure smooth functioning of office, including purchasing and maintaining office supplies, equipment, and materials for casework.
  • The Administrative Officer will report to the Program Officer and will be responsible for assisting core team in day to-day operations of the project.
  • The position will be based in Delhi, but occasionally may be required to travel to partner institutions within the country.


  • Graduation with PG/Diploma in Arts/commerce/commerce/management or relevant field.


  • 5 years of working experience preferably in an admin role.
  • 3 years’ experience of working with similar responsibility in national level NGO/ organization.

Annual Salary (CTC) will commensurate with the available skills and fitment of the incumbent as per the selection process.
